About:

The Unit Hierarchy Database (UHD) defines the organizational structure of the University of Georgia.  It assists Office of Research and UGA in managing business processes (workflow), produce reports, identify members of organizations (in conjunction with UMD) and can be used for future applications that need electronic access to the organizational hierarchy. UHD is a mission-critical application for Office of Research.

UHD provides both identification and hierarchical information about all “units” in the University. A unit is an organizational entity of any type (e.g., centers, departments, colleges, offices), usually with associated human resources. It incorporates but expands on unit codes and hierarchies in BUD_ORG_STRUCTURE, the existing budgetary organization at UGA. Identification includes not only names and budget codes (if assigned) for units, but also the type of unit, the status (official or unofficial) of unit, multiple names and synonyms for unit, and the history of any changes to these identifying attributes (see below).

UHD supports multiple hierarchical reporting structures, and currently includes an Administrative hierarchy (typically recognized as an institution’s org. chart) and Budgetary hierarchy, which incorporates the Accounting Department’s BUD_ORG_STRUCTURE database, updated nightly.

UHD is in the “sixth normal form,” meaning that the status and relationships of the structures are stored and shown in a temporal or historic context. For example, the organizational structure as it was last month can be seen. This temporal context currently reflects only a few months of history, as it begins at the time of UHD’s implementation of the sixth normal form feature.

UHD provides secure web services so that any authorized application can use the capabilities of UHD.

UHD is integrated with other Office of Research applications, such as Online Transmittal Form, Unit Membership Database, Service Center Database, and eXtended Property Records.

titleWhy would I need to use UHD?

If you use any Office of Research applications and databases, you are probably already using UHD without realizing it.

If your organization intends to implement a workflow system that routes tasks, approvals and other business transactions through an organization hierarchy, you may benefit by using programmatic interfaces to UHD, including web service-enabled capabilities. As an example, the online transmittal form that accompanies all proposal submissions through OSP uses UHD for its electronic approval workflow using digital signatures.

titleHow do I access UHD?

Only authorized users may access UHD through the login screen and administrative interface. If your job duties require access to this application, contact nesmithj@ugacontact ovprhelp@uga.edu. Use of UHD by applications can occur by direct query or web services; Office of Research can help develop these connections.

titleWhere do the data in UHD originate?

The Accounting Department’s BUD_ORG_STRUCTURE is the fundamental content, providing the three-tiered budgetary account hierarchy as one of the structures in UHD.  These data are updated nightly.  Office of Research currently maintains all other unit identities, attributes, and hierarchies on an “as needed” basis, particularly the Centers, Institutes, Core Facilities, Research Support Services, unofficial groups and Office of Research internal reporting structures.
